How a stall is booked

There are five separate stages. Completing an application adds you for consideration; it does not book a site or guarantee an invitation for a particular month.

Apply

Use the official new stallholder form. Include your products, photos and current insurance certificate.

Review

We assess suitability, availability and the existing mix of stalls.

Approval

New applicants are treated as casual stallholders. If accepted, you join the mailing list; a place each month is not guaranteed.

Invitation

Monthly invitations are emailed on the 26th of the preceding month, with the RSVP and payment Jotform.

Confirm

Reply through that form, whether attending or not. If attending, complete payment as instructed. Then check your site map and pre-event email.

Apply once, then RSVP each time. Once approved, you stay on our stallholder mailing list as long as you respond to our emails. You do not need a new application for every market. An invitation and RSVP are still required for each date; they are what let us confirm your attendance, payments and maintain our documentation.

Before you apply

The application is for general stalls. Food and drink applicants should email the Market Manager first so the right requirements can be discussed.

Have these ready

  • A specific list of everything you intend to sell, including which items you make yourself.
  • Up to four clear photos of your products or stall. The current form limits each upload to 400 KB.
  • Your current public liability Certificate of Currency. General stalls require at least $10 million cover; food stalls may require $20 million.
  • Your preferred indoor or outdoor setup, and any accessibility, parking, table or power needs.

How we choose

WQM prioritises handmade work, artisan goods and produce. We also consider curated vintage and second-hand goods, and may offer sites to a limited number of vendors selling new goods. The market already has long-standing stallholders; a good application may still be declined, or you may be offered a place on our reserve list if a category is full.

Only approved goods may be sold. Tell us about additions before the market and wait for approval.

An ABN is not required to apply. First-time stallholders are welcome.

The application form and its full terms ↗ remain the formal source for eligibility and conditions. Please read them before submitting.

Accepted? Here is what happens each month.

All new applicants start as casual stallholders. Acceptance puts you on our stallholder mailing list, but permanent placement every month is not guaranteed. Each date has its own invitation and RSVP.

26th of the preceding month: invitations

We email invitations for the next market on the 26th. For example, October invitations go out on 26 September. Invitations depend on site availability and the mix of stalls for that date. Check your inbox and junk folder.

Submit the RSVP form in your invitation

Your invitation email includes a link to that market’s RSVP form. Open the link and submit the form to say yes or no, even if you are a regular or permanent stallholder. If attending, select your booking options and pay through the form by its deadline.

If you do not respond to invitations or other emails that ask for a reply, you may be removed from the approved stallholder list and need to reapply.

After you RSVP: We use the responses and payments to finalise the stall list and site plan. Your pre-event email, with your site map and date-specific instructions, is sent on the Wednesday night before the market. If you were not invited or have not completed the RSVP process, do not assume you have a booked site.

Preparing for market day

Your pre-event email carries the instructions for your particular date. Read the entire message and all maps, including any changes to access, parking, weather arrangements or the site layout.

Common questions

The answers most often needed before sending an enquiry.

Can I apply for just one market date?

Yes. You can apply for a single date, but there is often a waiting list for sites each month. Submit your application well in advance for the best chance of attending. This gives us time to assess it and consider your stall during the invitation process. Your booking is only confirmed after an invitation and the required RSVP and payment steps.

Do I have to submit an application every time I want to attend?

No. Apply once to join our stallholder mailing list. If your application is approved and you continue to respond to our emails, you do not need to reapply for each market. When you receive an invitation for a date, use its RSVP form to tell us whether you can attend.

Do I need to respond if I cannot attend?

Yes. Everyone who receives an invitation needs to RSVP, including permanent stallholders. Use the form in your invitation to select no if you cannot attend. If you do not respond to invitations or other emails that ask for a reply, you may be removed from the approved stallholder list.

How do I know which site I have?

Your site allocation and map are sent in the pre-event email on the Wednesday night before the market. Check the map and all attachments before arriving, as site positions can change between markets.

What does a stall cost?

Fees depend on the site type and any extras. As a guide, a standard outdoor 3 × 3 m site has typically been $25; your invitation and payment form give the fee for the actual booking. Do not send an unsolicited payment before receiving an invitation.

Can I change or cancel my booking?

Email the Market Manager promptly. The formal terms set a 48-hour cancellation threshold for credit or refund eligibility. See your current invitation and terms for the precise deadline and conditions.

What if I need accessibility support?

Include relevant access, parking or setup needs in the application notes, or email the Market Manager. Sharing a diagnosis is not required; practical details help us plan a workable site where possible.
